Pre-Registering Visitors Pre-registration is one of the most powerful features in KyberAccess. It allows hosts to register expected visitors before they arrive, dramatically speeding up the check-in process and creating a polished, professional first impression. When a visitor is pre-registered, they receive an email invitation with all the details they need — including a unique QR code that enables instant check-in at the front desk or kiosk. Why Pre-Register? Pre-registering visitors benefits everyone involved: - Visitors arrive knowing exactly where to go and what to expect. No awkward waiting while someone types their information. - Hosts get notified the moment their guest arrives — no phone calls from the lobby. - Front-desk staff spend seconds (not minutes) on each check-in because the visitor's information is already in the system. - Security teams can screen visitors against watchlists before they arrive, flagging concerns in advance. - Compliance is strengthened because NDAs, waivers, and health questionnaires can be sent ahead of time for digital signature. How to Pre-Register a Visitor From the Dashboard 1. Log in to app.kyberaccess.com. 2. Click + Pre-Register from the Dashboard (or navigate to Visitors → Pre-Register). 3. Fill in the visitor details: - First Name and Last Name (required) - Email Address (required — this is where the invitation and QR code are sent) - Phone Number (optional — used for SMS notifications) - Company / Organization (optional) - Purpose of Visit — select from your configured list or type a custom reason 4. Select the Host — the person the visitor is coming to see. 5. Set the Expected Date and Time: - Choose a specific date and arrival window (e.g., "April 28, 2025 from 9:00 AM to 11:00 AM") - For multi-day visits, toggle Multi-Day and select a date range 6. Under Additional Options, configure: - Send Invitation Email — enabled by default; sends the visitor their QR code and instructions - Require NDA/Waiver — visitor can sign digitally before arriving or upon check-in - Include Parking Instructions — attach parking details to the invitation email - Add Special Instructions — free-text field for any notes (e.g., "Enter through the north entrance") 7. Click Register Visitor. From the Calendar Integration If you have connected Google Workspace or Microsoft 365 under Settings → Integrations, KyberAccess can automatically suggest pre-registration for calendar events that include external attendees: 1. Navigate to Visitors → Pre-Register. 2. Click the From Calendar tab. 3. KyberAccess displays upcoming calendar events with external participants. 4. Click Pre-Register next to the event. 5. Review the auto-filled details (names, emails, date/time pulled from the calendar event). 6. Click Register All to pre-register everyone at once. Tip: Enable Auto Pre-Registration under Settings → Integrations → Calendar to have KyberAccess automatically pre-register external attendees for all future calendar events. This is ideal for organizations with high meeting volumes. Bulk Pre-Registration For events, conferences, or large group visits: 1. Navigate to Visitors → Pre-Register. 2. Click Bulk Import. 3. Download the CSV template. 4. Fill in the spreadsheet: first_name,last_name,email,company,host_email,date,time Sarah,Johnson,sarah@acme.com,Acme Corp,john@yourcompany.com,2025-04-28,09:00 Mike,Chen,mike@techco.com,TechCo,jane@yourcompany.com,2025-04-28,09:00 5. Upload the CSV and review the preview. 6. Click Import & Send Invitations. All visitors receive their individual invitation emails simultaneously. What the Visitor Receives When you pre-register a visitor, they receive an email that includes: - Welcome message with your organization's name and logo - Visit details — date, time, location, and host name - QR code — a unique code that enables instant check-in - Directions and instructions — address, parking info, and any special instructions you added - Pre-arrival tasks (if configured) — links to complete an NDA, waiver, or health screening before arriving - Add to Calendar button — lets the visitor add the appointment to their own calendar Note: The QR code is unique to this specific visit. It cannot be reused for future visits and expires after the scheduled date (or a configurable grace period). Checking In a Pre-Registered Visitor When the pre-registered visitor arrives, the check-in process is streamlined: At the Front Desk 1. Click + Check In on the Dashboard. 2. Choose one of these methods: - Scan QR Code — click the QR scan button and hold the visitor's QR code (from their phone or printed email) in front of the camera - Search by Name — type the visitor's name; pre-registered visitors appear with a blue "Pre-Registered" badge - Search by Email — enter the visitor's email to locate their pre-registration 3. The visitor's pre-filled information loads automatically. 4. Complete any remaining check-in steps (photo capture, ID scan if required). 5. Click Complete Check-In. At a Kiosk 1. The visitor taps I Have a QR Code on the kiosk screen. 2. They hold their phone (or printed QR code) up to the kiosk camera. 3. The kiosk loads their information and guides them through any remaining steps (selfie, NDA signing, etc.). 4. The visitor receives a printed badge and the host is notified. Via a QR Reader If your location uses a dedicated QR reader device (such as the eZ80 Acclaim): 1. The visitor scans their QR code at the reader. 2. KyberAccess automatically matches the code to the pre-registration. 3. If no additional steps are required, the check-in completes instantly. 4. If additional steps are needed (ID scan, photo), the front-desk operator is prompted to complete them. Managing Pre-Registrations Viewing Upcoming Visitors 1. Navigate to Visitors → Pre-Registered. 2. View all upcoming pre-registered visitors, sorted by date. 3. Filter by location, host, date range, or status (pending, checked in, cancelled, no-show). Editing a Pre-Registration 1. Find the visitor in the pre-registered list. 2. Click their name to open the details. 3. Update any fields — date, time, host, special instructions. 4. Click Save Changes. 5. Optionally, toggle Resend Invitation to notify the visitor of the changes. Cancelling a Pre-Registration 1. Find the visitor in the pre-registered list. 2. Click the ⋮ (more) menu next to their name. 3. Select Cancel. 4. Choose whether to Notify the Visitor (sends a cancellation email). 5. Confirm the cancellation. Cancelled pre-registrations are moved to the Cancelled tab for record-keeping. Recurring Visitors For visitors who come regularly (contractors, consultants, weekly meeting attendees): 1. When pre-registering, toggle Recurring Visit. 2. Set the recurrence pattern: - Daily — every weekday - Weekly — select specific days (e.g., every Monday and Wednesday) - Bi-weekly or Monthly 3. Set an End Date or select No End Date for indefinite recurring visits. 4. Click Register Visitor. KyberAccess generates individual pre-registrations for each occurrence. The visitor receives a single QR code that works for all scheduled visits. Tip: Recurring pre-registrations are perfect for contractors and consultants. Combine with Returning Visitor Recognition (under Settings → Visitor Check-In) to further streamline repeat visits. Pre-Arrival Screening One of the biggest advantages of pre-registration is the ability to screen visitors before they arrive: - Watchlist Check — as soon as you pre-register a visitor, KyberAccess automatically checks their name against your configured watchlists (sex offender registries, custom watchlists, BOLO lists). If a match is found, the host and security team are alerted immediately. - NDA / Waiver — visitors can review and sign legal documents from their email invitation before arriving. - Health Screening — visitors complete the health questionnaire from their device. Non-compliant answers are flagged before they reach your lobby. Notifications When a pre-registered visitor checks in, the following notifications are sent: - Host — email, push notification, and/or SMS (based on the host's preferences) - Front Desk — a real-time update on the Dashboard's visitor feed - Security — if the visitor triggered a watchlist alert, security is notified immediately You can configure notification rules under Settings → Notifications. Common Questions What if the visitor lost their QR code? They can check in by name or email at the front desk. The front-desk operator can also resend the invitation email from the pre-registration details. Can visitors pre-register themselves? Not by default, but you can share a Pre-Registration Link (found under Settings → Visitor Check-In → Self Pre-Registration) that allows visitors to register their own visit, subject to host approval. What happens if a visitor arrives on the wrong day? KyberAccess will flag that the visit date does not match but will still allow check-in at the front desk operator's discretion. Kiosks can be configured to accept early/late arrivals within a configurable grace period. QR Code Check-In

QR Code Check-In QR code check-in is the fastest way to get visitors from the lobby to their meeting. When a visitor has been pre-registered, they receive a unique QR code via email. On arrival, they simply scan the code — at a kiosk, front desk, or dedicated QR reader — and KyberAccess pulls up their pre-filled information instantly. What would normally take two to three minutes of manual data entry becomes a five-second scan. How QR Code Check-In Works The QR code flow is straightforward: 1. A host pre-registers the visitor in KyberAccess (see Pre-Registering Visitors). 2. The visitor receives an email containing their visit details and a unique QR code. 3. On arrival, the visitor presents the QR code — on their phone screen, printed from the email, or from their calendar app. 4. The system scans and matches the code to the pre-registration record. 5. Pre-filled information loads automatically — name, company, host, purpose of visit. 6. Any remaining check-in steps are completed — selfie capture, ID scan, NDA signing (depending on your configured flow). 7. Check-in is complete — the host is notified, a badge prints (if enabled), and the visitor appears in the live visitor log. QR Code Check-In Methods KyberAccess supports multiple ways to scan visitor QR codes, depending on your facility setup. Method 1: Front Desk (Web App) The front-desk operator scans the QR code using the workstation's camera: 1. From the Dashboard, click + Check In. 2. Click the Scan QR button (camera icon) at the top of the check-in form. 3. The browser activates the camera. A viewfinder frame appears on screen. 4. Ask the visitor to hold their phone (with the QR code displayed) approximately 6–10 inches from the camera. 5. KyberAccess reads the code and loads the visitor's pre-registration details. 6. Review the information and complete any remaining steps in your check-in flow. 7. Click Complete Check-In. Tip: For best results at the front desk, use an external USB camera with autofocus mounted on a gooseneck arm. This provides a consistent scanning distance and frees the operator's hands. Method 2: Kiosk (Self-Service) Kiosks enable visitors to check themselves in without front-desk assistance: 1. The visitor approaches the KyberAccess kiosk (iPad app or web kiosk). 2. On the kiosk welcome screen, they tap I Have a QR Code (or Scan QR Code). 3. The kiosk activates the camera (rear camera on iPad, or the connected camera for web kiosks). 4. The visitor holds their QR code in front of the camera. 5. The kiosk loads their information and displays a confirmation: "Welcome, [Visitor Name]! You're here to see [Host Name]." 6. If additional steps are configured (selfie capture, NDA signing, health screening), the kiosk guides the visitor through each one. 7. A badge prints automatically (if badge printing is enabled), and the host is notified. Method 3: Dedicated QR Reader For high-throughput environments (corporate lobbies, schools, event venues), a dedicated QR reader provides the fastest experience: 1. Mount the QR reader at the entrance or lobby check-in point. 2. In KyberAccess, navigate to Settings → Devices → QR Readers. 3. Click + Add Reader and follow the pairing instructions for your reader model. 4. Once paired, visitors simply hold their QR code in front of the reader. 5. KyberAccess processes the scan and either: - Completes the check-in instantly (if no additional steps are required), or - Alerts the front desk to complete remaining steps (ID scan, photo, etc.) Supported QR readers include the eZ80 Acclaim series and any USB HID-compatible barcode/QR scanner. Note: Dedicated QR readers are the fastest option — they can process a scan in under one second, compared to 2–3 seconds with a camera-based scan. Configuring QR Code Check-In Enabling QR Codes for Pre-Registration QR codes are generated automatically for every pre-registered visitor. To verify this is enabled: 1. Navigate to Settings → Visitor Check-In. 2. Under Pre-Registration Options, confirm that Generate QR Code is toggled on. 3. Optionally, configure the QR Code Expiration: - Visit Day Only — the QR code is valid only on the scheduled visit date - Visit Day + Grace Period — add 1–3 days of buffer for early or late arrivals - Never Expire — the QR code remains valid indefinitely (recommended for recurring visitors) Customizing the QR Code Email The email your visitors receive is fully customizable: 1. Go to Settings → Notifications → Visitor Invitation. 2. Edit the email template: - Subject Line — default: "Your upcoming visit to [Organization Name]" - Body — customize the welcome message, add instructions, include parking details - Logo — your organization's logo appears at the top of the email - Footer — add contact information or special instructions 3. Click Save Template. 4. Use Send Test Email to preview how the invitation looks. QR Code Format KyberAccess QR codes contain an encrypted, unique identifier linked to the specific pre-registration record. They do not contain any personal information — all data is retrieved server-side when the code is scanned. This means: - QR codes are secure — even if someone photographs a QR code, the personal data is not embedded in the code itself - QR codes are single-use by default — once a visitor checks in with a QR code, it is marked as used (configurable for recurring visits) - QR codes are tamper-proof — modified codes fail validation Scanning Tips for Reliable Reads For Visitors - Open the QR code email and maximize screen brightness on your phone. - Hold the phone steady at a distance of 6–10 inches from the camera or reader. - If scanning from a printout, ensure the QR code is printed clearly — avoid folded or crumpled paper. - If using Apple Wallet or Google Wallet (for supported integrations), simply hold the phone near the reader. For Front-Desk Staff - Position the camera or reader in a well-lit area — avoid backlighting (windows behind the scanner). - If using a webcam, ensure the autofocus is working. Fixed-focus cameras may struggle with close-up QR codes. - For high-volume periods, consider switching to a dedicated QR reader for faster throughput. - If a code will not scan, fall back to manual search — click the search bar and type the visitor's name or email. For Kiosk Setups - Mount the kiosk at a height where visitors can comfortably present their phone to the camera (approximately 3.5–4.5 feet from the floor). - Add a "Scan Here" label near the camera to guide visitors. - Ensure the kiosk is positioned away from direct sunlight, which can cause glare on the camera. - Test the scanning distance during setup — the ideal range varies by camera model. Walk-In Visitors Without QR Codes Not every visitor will have a QR code. Walk-in visitors can still check in through the standard flow: 1. On the kiosk, they tap I Don't Have a QR Code (or Walk-In). 2. At the front desk, the operator clicks + Check In and enters the visitor's information manually. Returning Visitor Recognition KyberAccess can recognize returning visitors even when they scan a new QR code for a different visit: - If the visitor's email or name matches a previous visit record, KyberAccess auto-fills information from their last visit. - The system can optionally skip steps that were already completed (e.g., NDA already signed, ID already on file). - Enable this under Settings → Visitor Check-In → Returning Visitor Recognition. Tip: Returning Visitor Recognition combined with QR code check-in creates an incredibly fast experience for repeat visitors — often under 10 seconds from scan to badge. Analytics and Reporting Track QR code check-in performance under Analytics → Check-In Methods: - QR Code vs. Manual — see what percentage of visitors use QR codes vs. walk-in registration - Average Check-In Time — compare scan-based check-ins (typically 5–15 seconds) to manual check-ins (1–3 minutes) - Scan Success Rate — identify if scanning failures are happening (possible camera or lighting issues) - Peak Hours — see when most QR scans happen to staff your front desk accordingly Troubleshooting | Issue | Solution | |---|---| | QR code not scanning | Increase phone screen brightness. Walk-In Visitor Registration Not every visitor will be pre-registered. Walk-in visitors — those who arrive without a prior appointment, QR code, or pre-registration record — are a daily reality for most organizations. KyberAccess makes walk-in registration fast and thorough, capturing all the information you need while keeping the experience smooth for both the visitor and your front-desk staff. When Walk-In Registration Is Used Walk-in registration applies whenever a visitor arrives without a pre-existing record in KyberAccess: - Unscheduled meetings — a client drops by without an appointment - Deliveries — couriers and package delivery personnel - Interviews — candidates arriving for job interviews that were not pre-registered - Vendors and contractors — maintenance workers, IT technicians, or service providers - Personal visitors — family or friends visiting an employee - Event attendees — guests arriving for an on-site event without individual pre-registration Registering a Walk-In Visitor at the Front Desk Step-by-Step Process 1. From the KyberAccess Dashboard, click + Check In (or use the keyboard shortcut N). 2. The check-in form opens. At the top, you will see options: Scan QR, Search, or New Visitor. Click New Visitor for a walk-in. 3. Enter the visitor's basic information: - First Name (required) - Last Name (required) - Email Address (optional but recommended — enables follow-up and returning visitor recognition) - Phone Number (optional) - Company / Organization (optional) 4. Select the Purpose of Visit from the dropdown menu. Common options include: - Meeting - Interview - Delivery - Contractor / Maintenance - Personal Visit - Tour - Other (free-text) 5. Select the Host — the employee the visitor is here to see. - Start typing the host's name and select from the auto-complete list - If the visitor does not have a specific host (e.g., a delivery), select No Host or Front Desk 6. Proceed through the configured check-in flow steps (see below). 7. Click Complete Check-In. The visitor is now checked in. A notification is sent to the host, and the visitor appears in the live Visitors list with a green "Checked In" status. Check-In Flow Steps Depending on your configuration (set up under Settings → Visitor Check-In → Check-In Flow), the walk-in process may include some or all of these steps: ID Scanning If enabled, the system prompts the front-desk operator to scan the visitor's government-issued ID: 1. Click Scan ID when prompted. 2. Position the back of the visitor's driver's license or ID card in front of the camera. 3. KyberAccess reads the AAMVA barcode and auto-fills the visitor's name, address, date of birth, and ID number. 4. A 4K photo of the ID is captured and stored for the visit record. 5. Review the parsed data and correct any fields if needed. 6. Click Confirm to proceed. Tip: ID scanning dramatically speeds up walk-in registration. Instead of typing a visitor's full name and details, the barcode captures everything in seconds. Photo / Selfie Capture If photo capture is enabled: 1. The system activates the camera and displays a live preview. 2. Ask the visitor to look at the camera. 3. Click Capture (or the system auto-captures when a face is detected). 4. The photo is used for the visitor badge and stored for security and photo matching on future visits. NDA / Waiver Signing If your organization requires visitors to sign legal documents: 1. The NDA or waiver is displayed on screen (or on a signature pad if connected). 2. The visitor reads the document and signs using their finger (on a touchscreen) or a stylus. 3. Click Accept & Continue. 4. The signed document is timestamped and stored with the visit record. Health Screening If a health screening questionnaire is active: 1. The questionnaire is displayed on screen. 2. The visitor or front-desk operator answers each question. 3. If all answers pass, the check-in continues. 4. If any answer triggers a flag (e.g., "Yes" to a symptom question), the system displays a configurable alert with instructions (e.g., "Please contact the host for further guidance"). Background Screening If background screening is enabled: 1. KyberAccess automatically checks the visitor's name against configured watchlists. 2. Screening runs in the background while other check-in steps proceed. 3. If a match is found, the front-desk operator sees a red alert banner at the top of the screen. 4. The operator can review the match details and decide how to proceed (continue, deny, or escalate). Badge Printing If badge printing is enabled: 1. Once check-in is complete, a badge automatically prints on the configured printer (Dymo or Brother). 2. The badge includes: visitor name, photo, host name, date/time, visitor type, and a unique visitor ID. 3. Hand the badge to the visitor and ask them to wear it visibly during their visit. Walk-In Registration at a Kiosk Visitors can also self-register as walk-ins at a KyberAccess kiosk: 1. The visitor approaches the kiosk and taps Walk-In (or I Don't Have a QR Code). 2. They enter their name, company, and purpose of visit using the on-screen keyboard. 3. They select their host from a directory list (searchable by name or department). 4. The kiosk guides them through the configured flow steps: - Selfie capture (using the kiosk camera) - ID scanning (visitor holds their ID to the kiosk's rear camera) - NDA / waiver signing (sign on the touchscreen) - Health screening questionnaire 5. A badge prints automatically, and the host is notified. Note: Kiosk walk-in registration works best when the host directory is kept up to date. Sync your directory via Settings → Integrations (Google Workspace or Microsoft 365) to ensure visitors can always find their host. Returning Visitor Recognition When a walk-in visitor has been to your facility before, KyberAccess can recognize them and speed up the process: 1. As the operator types the visitor's name (or scans their ID), KyberAccess searches for matching records. 2. If a match is found, a "Returning Visitor" badge appears next to their name. 3. Click the match to auto-fill all previously captured information (name, company, email, phone, photo). 4. Steps that were already completed on a prior visit (NDA signed, ID on file) can be automatically skipped. Enable Returning Visitor Recognition under Settings → Visitor Check-In → Returning Visitor Recognition. You can configure: - Match Criteria — match by name, email, ID number, or any combination - Skip Completed Steps — choose which steps to skip for returning visitors (e.g., skip NDA if signed within the last 90 days) - Photo Matching — compare the visitor's current selfie to their photo on file to confirm identity Handling Special Cases Visitors Without an ID If a visitor does not have a government-issued ID and ID scanning is configured as mandatory: 1. The front-desk operator can click Skip ID Scan (if the setting allows manual override). 2. A note is added to the visit record: "ID not presented." 3. The administrator can configure whether skipping is allowed under Settings → Visitor Check-In → ID Scanning → Required vs. Optional. Large Groups For groups arriving together (e.g., a tour group or vendor team): 1. Register the first visitor using the standard walk-in process. 2. For subsequent visitors, click + Add Another at the bottom of the check-in confirmation screen. 3. This opens a streamlined form that pre-fills the host, purpose, and date from the previous entry. 4. Repeat for each group member. Alternatively, if the group was expected, use Bulk Pre-Registration ahead of time (see Pre-Registering Visitors). Denied Visitors If a visitor is flagged by a watchlist or fails a screening check: 1. The front-desk operator sees a red alert with match details. 2. They can click Deny Entry to stop the check-in process. 3. The denied visitor is logged in the system with a "Denied" status for audit purposes. 4. Security is notified automatically. 5. The host is informed that their visitor was denied entry (with or without details, depending on your policy settings). Customizing the Walk-In Flow Every organization has different needs. Customize the walk-in experience: 1. Navigate to Settings → Visitor Check-In → Check-In Flow. 2. Toggle individual steps on or off. 3. Drag and drop to reorder steps. 4. For each step, click the gear icon to configure options: - Required vs. Optional — whether the step must be completed or can be skipped - Visitor Types — apply the step only to certain visitor types (e.g., require NDA for contractors but not delivery personnel) 5. Click Save Flow. Tip: Create different check-in flows for different visitor types. Under Settings → Visitor Types, define categories like "Guest," "Contractor," "Delivery," and "Interview," each with their own flow configuration. Analytics Track walk-in visitor trends under Analytics: - Walk-In vs. Pre-Registered — see the ratio and identify opportunities to increase pre-registration adoption - Average Check-In Duration — for walk-ins, this is typically 1–3 minutes; compare to QR code check-ins - Peak Walk-In Hours — staff your front desk accordingly - Visitor Types — breakdown by purpose of visit Troubleshooting | Issue | Solution | |---|---| | Check-in form not loading | Clear browser cache and reload. Visitor Check-Out Checking visitors out is just as important as checking them in. Accurate check-out data ensures your visitor log reflects who is currently on-site at any given moment — critical for security, compliance, emergency evacuations, and accurate analytics. Why Check-Out Matters A visitor management system is only useful if it reflects reality. When visitors check out properly: - Emergency evacuations are accurate — the system knows exactly who is still in the building, enabling a real-time headcount during fire drills or actual emergencies. - Security teams can identify overstays — visitors who remain on-site longer than expected. - Analytics are meaningful — visit duration, average time on-site, and peak occupancy reports all depend on accurate check-out data. - Compliance audits require proof of when visitors entered and exited your facility. - Host accountability — hosts can see when their visitor has departed. Check-Out Methods KyberAccess supports several ways to check visitors out, ensuring flexibility for different environments. Method 1: Front Desk Check-Out The most common method — a front-desk operator checks the visitor out when they leave. 1. Navigate to the Visitors page from the left sidebar. 2. Find the visitor you want to check out. Use the search bar or browse the list of currently checked-in visitors (indicated by a green "Checked In" badge). 3. Click the visitor's name to open their visit details. 4. Click the Check Out button (or the clock icon in the visitor row). 5. Optionally, add a check-out note (e.g., "Escorted to parking garage"). 6. Click Confirm Check-Out. The visitor's status changes to "Checked Out" with a timestamp, and they move from the active visitors list to the visit history. Tip: Train front-desk staff to check visitors out as they pass the desk on the way out. It takes two seconds and keeps your records accurate. Method 2: Bulk Check-Out At the end of the day, some visitors may forget to check out. Use bulk check-out to clear everyone at once. 1. Navigate to the Visitors page. 2. Click the ⋮ (more) menu at the top of the visitor list. 3. Select Check Out All Visitors. 4. Review the list of visitors who will be checked out. 5. Optionally, deselect any visitors who should remain checked in (e.g., overnight guests or contractors). 6. Click Confirm Bulk Check-Out. All selected visitors are checked out with the current timestamp. Note: Bulk check-out is useful for organizations that close at a fixed time each day. See Automatic Check-Out below for an even more hands-off approach. Method 3: Kiosk Check-Out Visitors can check themselves out using a KyberAccess kiosk: 1. The visitor approaches the kiosk and taps Check Out on the welcome screen. 2. They identify themselves by: - Scanning their QR code (if they still have it from check-in) - Searching their name in the directory - Scanning their badge (if the badge has a barcode) 3. The kiosk displays a confirmation: "Goodbye, [Visitor Name]! You have been checked out." 4. The visitor's status is updated in real time. To enable kiosk check-out: 1. Navigate to Settings → Kiosk. 2. Click your kiosk configuration. 3. Toggle Enable Check-Out to on. 4. Click Save. Method 4: QR Reader Check-Out For locations with dedicated QR readers at exit points: 1. Install a QR reader at the exit (e.g., near the elevator lobby or building exit). 2. In KyberAccess, navigate to Settings → Devices → QR Readers. 3. Click the reader and set its Mode to Check-Out (or Bi-Directional for readers that handle both check-in and check-out). 4. When a visitor scans their badge or QR code at the exit reader, they are automatically checked out. This method requires no front-desk intervention and works well for high-traffic buildings. Method 5: Host-Initiated Check-Out Hosts can check their own visitors out from their account: 1. The host logs into app.kyberaccess.com or opens the KyberAccess mobile notification. 2. Under My Visitors, they see their currently checked-in visitors. 3. Click Check Out next to the visitor who has departed. 4. The visitor is checked out, and the front desk is notified of the status change. This is useful when the host escorts their visitor to the exit and knows exactly when they leave. Method 6: Automatic Check-Out For organizations that want a fully automated approach, KyberAccess can automatically check visitors out based on configurable rules. 1. Navigate to Settings → Visitor Check-In → Check-Out Rules. 2. Configure one or more rules: - Time-Based — automatically check out all visitors at a specific time each day (e.g., 6:00 PM) - Duration-Based — automatically check out visitors after a set number of hours (e.g., 8 hours after check-in) - End of Business Day — uses your location's configured business hours to determine when to auto-check-out 3. Optionally, set Exceptions: - Exempt certain visitor types (e.g., contractors may stay past business hours) - Exempt visitors with a "Multi-Day" flag 4. Toggle Send Notification to alert front-desk staff when auto-check-outs occur. 5. Click Save Rules. Tip: We recommend using automatic check-out as a safety net rather than a primary method. It catches forgotten check-outs, but real-time manual check-out is always more accurate. Check-Out Notifications When a visitor is checked out, the following notifications can be triggered: - Host — receives an email or push notification that their visitor has departed - Front Desk — the live visitor feed updates in real time on the Dashboard - Security — optional notification for high-security environments Configure check-out notifications under Settings → Notifications → Check-Out Events. Viewing Check-Out History All check-out records are stored permanently for audit purposes. Visit Log 1. Navigate to Visitors → Visit History. 2. Use the filters to find specific visits: - Date Range — select a start and end date - Location — filter by building or entry point - Host — find all visits for a specific host - Visitor Name — search by the visitor's name or company 3. Each record shows: - Visitor name and company - Host name - Check-in time - Check-out time - Visit duration - Check-out method (manual, kiosk, automatic, host-initiated) Exporting Records For compliance or reporting: 1. The export includes all visit details including check-in and check-out timestamps. Emergency Evacuation and Check-Out During an emergency, knowing who is still on-site is critical. 1. Click the Evacuate button on the Dashboard (or press the keyboard shortcut E + Enter). 2. KyberAccess enters Evacuation Mode, displaying: - Total number of visitors currently on-site - List of all checked-in visitors with their host and location - Real-time updates as visitors are accounted for 3. As visitors are accounted for at the assembly point, click Mark Safe next to each name. 4. When the emergency is over, click End Evacuation. 5. You can then choose to Check Out All Remaining Visitors or return to normal operations. Important: Evacuation mode relies on accurate check-out data. If visitors are not checked out when they leave, the headcount will be inflated, potentially sending rescue teams to search for people who have already left. Overstay Alerts KyberAccess can alert you when visitors stay longer than expected: 1. Navigate to Settings → Visitor Check-In → Overstay Alerts. 2. Set the Maximum Visit Duration (e.g., 4 hours, 8 hours, or end of business day). 3. Configure who receives the alert: - Front desk - Host - Security 4. Choose the alert method: email, push notification, or on-screen banner. 5. Click Save. When a visitor exceeds the maximum duration without checking out, the configured recipients receive an overstay alert. Badge Collection at Check-Out If your organization uses visitor badges, remind front-desk staff to collect badges at check-out. Tips for effective badge collection: - Post a sign at the exit: "Please return your visitor badge to the front desk" - Use the check-out screen — KyberAccess displays a reminder: "Collect visitor badge" during the check-out process - Void collected badges — for single-use adhesive badges, instruct visitors to peel and discard them; for reusable clip-on badges, collect and reuse Analytics Check-out data powers several analytics reports under Analytics: - Average Visit Duration — how long visitors typically stay - Peak Occupancy — maximum number of visitors on-site at any time - Overstay Frequency — how often visitors exceed the expected duration - Check-Out Method Distribution — breakdown by manual, kiosk, automatic, etc. - Forgotten Check-Outs — visitors who were auto-checked-out because they did not check out manually Common Questions What if a visitor leaves without checking out? Use automatic check-out rules to catch these cases. The visitor will be auto-checked-out at the configured time. You can also manually check them out from the Visitors page. Can I undo a check-out? Yes. Find the visitor in the Visit History, click their record, and click Re-Check-In. This restores them to the active visitors list. This is useful if someone was accidentally checked out. Does check-out require the same device as check-in? No. A visitor can check in at a kiosk and check out at the front desk, or vice versa. What about multi-day visitors? Multi-day visitors (flagged during pre-registration or check-in) are exempt from automatic check-out by default. They must be manually checked out or checked out when their multi-day visit period ends.
