Custom Fields and Visitor Photo Capture

KyberAccess lets you capture exactly the information your organization needs at check-in — including a photo of each visitor — so your records are complete and audit-ready.

Add custom fields

  1. Go to Settings > Kiosk > Fields.
  2. Click Add Field and choose a type: text, dropdown, number, date, checkbox, or ID number.
  3. Set the field as required or optional, and choose which visitor types it applies to.
  4. Save. The field appears on the kiosk immediately — no redeploy needed.

Common custom fields include company name, purpose of visit, host department, vehicle/plate number, ID card number, and health or policy acknowledgments.

Enable face photo capture

  1. Go to Settings > Kiosk > Features.
  2. Turn on Photo / Selfie Capture.
  3. During check-in, the kiosk captures the visitor's face and stores it on the visit record.

The photo is used for the printed badge, for host notifications, and for guard verification — so staff always know who is on site.

Where captured data appears

  • On the visitor record and the visit history.
  • On the printed badge (if photo badges are enabled).
  • On the guard verification screen (guard-side only, never shown back to the visitor).

Tips

  • Keep required fields minimal at walk-in to speed up the line; collect the rest via pre-registration.
  • Use dropdowns instead of free text where possible for cleaner reporting and exports.
