How to Use the Kiosk Flow Builder

The Kiosk Flow Builder lets you design exactly what visitors see when they check in on your iPad kiosk — step by step, with no code. Add or remove steps, reorder them by dragging, configure each one, brand the screens, and preview the whole thing live before you publish.

This guide walks you through building, configuring, and publishing a kiosk flow.


Where to find it

  1. Log in to your KyberAccess dashboard at app.kyberaccess.com
  2. Go to SettingsKiosk
  3. Open the Flow Builder tab

You'll see three areas:

  • Left: the palette of available steps you can add
  • Center: your current flow (the ordered list of steps a visitor will go through)
  • Right: a Live Preview that shows the selected step exactly as it appears on the kiosk (switchable between iPad and phone view)

Quick start: use a preset

The fastest way to start is with a preset. Each preset is a ready-made flow you can then customize.

Click a preset to load it, then adjust from there. You're never locked in — changing any step switches the flow to Custom.


The building blocks (steps)

Your flow is made of steps. Three are required and can't be removed — Welcome, Visitor Information, and Completion — because every check-in needs a start, identity, and a finish. Everything else is optional.

ID Scan Scans a government-issued ID
Photo Capture Takes the visitor's photo for their badge
Health Screening A health/screening questionnaire
Waiver / NDA Digital signature on agreements or site rules
Custom Form Additional custom questions you define
Badge Printing Prints the visitor badge
Completion (required) Success screen, with a QR code

Building your flow

Add a step

Click a step in the left palette to add it to your flow. Required steps are already in place.

Reorder steps

Grab the drag handle (⋮⋮) on any step and drag it up or down. The visitor experiences the steps in exactly the order shown. (The Welcome step stays first and Completion stays last.)

Remove a step

Click the trash icon on any optional step. Required steps can't be removed — you'll see a note if you try.

Configure a step

Click a step (or its settings icon) to open its configuration panel on the right. Options depend on the step, for example:

  • Welcome — welcome message, subtitle, show/hide logo, background image
  • Visitor Information — which fields to collect (email, phone, company, host) and whether each is required, optional, or hidden; where hosts come from
  • Visitor Type — the list of types (Guest, Contractor, Vendor, Interview…) and whether visitors can enter a custom one
  • Purpose of Visit — the list of purposes and whether custom entries are allowed
  • Waiver / NDA — which document template(s) the visitor must sign
  • Badge Printing — auto-print on completion and which badge template to use

Save the panel and the Live Preview updates immediately.


Add custom fields (e.g. HKID, employee ID, PO number)

Need to collect something specific? You have two options:

  1. Custom Form step — add a Custom Form step to the flow and define your own questions.
  2. Custom fields on Visitor Information — go to Settings → Kiosk → Fields and click Add Custom Field. Choose a type (Text, Number, Email, Phone, or Select), give it a label (e.g. "HKID"), and it becomes part of check-in.

Tip — show a custom field to your security guards: After creating a custom field, go to Settings → Kiosk → Kiosk Features → Guard Verification, and under Custom fields tick the field you want. It will then appear as an overlay on the visitor's photo in the Security Monitor — so a guard can verify it at a glance.


Conditional steps (show a step only for some visitors)

Steps can be shown conditionally based on the visitor's answers — for example, only show the Waiver / NDA step to Contractors, or only collect Company for Vendors and Contractors. Set conditions in the step's configuration panel using the visitor type (or another field) as the trigger.


Branding your kiosk

In the builder you can set your kiosk's look and feel — logo, welcome message, colors, and background — so the check-in screens match your organization. This applies across the flow, and the Live Preview reflects it as you edit.


Badge printing setup

If your flow includes Badge Printing, configure your printer in the builder:

  • Choose your printer model — supported models include Brother (QL-820NWB, QL-810W, QL-800, QL-1110NWB), Dymo (LabelWriter 450, 550, 5XL), Zebra (ZD421, ZD621), Rollo (X1038), and any AirPrint-compatible printer.
  • Connection — Wi-Fi, USB, or Bluetooth (and IP address for networked printers)
  • Auto-print — print the badge automatically when the visitor finishes
  • Badge template — pick which badge design to use

Preview and publish

  1. Use the Live Preview on the right to click through each step and confirm it looks right. Toggle between iPad and phone views.
  2. When you're happy, click Save.
  3. Your kiosk apps pick up the new flow — reload the kiosk if it's already open to load the latest version.

Tips & best practices

  • Fewer steps = faster check-in. Start from the Basic or Standard preset and only add what you truly need.
  • Put ID Scan and Photo Capture early if you rely on them for badges, so the data is captured before the badge prints.
  • Use "hidden" vs "optional" deliberately on Visitor Information fields — hidden removes the field entirely; optional shows it without forcing an answer.
  • Test on the actual iPad after publishing, not just in the preview, especially if you use badge printing or ID scanning hardware.
  • Reorder, don't rebuild. If a flow is close, drag steps around rather than starting over.

Frequently asked questions

Do I need to write any code? No. The Flow Builder is fully visual — add, remove, reorder, and configure steps with clicks and drags.

Can I have different flows for different visitor types? Yes — use conditional steps so certain steps (like a waiver or company field) only appear for the visitor types you choose.

Where do the answers go? Everything the visitor enters is saved to their visit record and appears in your dashboard, reports, and (for selected fields) on the guard's Security Monitor.

Can I collect a field that isn't in the default list? Yes. Add a Custom Form step, or create a custom field under Settings → Kiosk → Fields.

What happens to the old flow when I save a new one? The new flow replaces the previous one for all your kiosks. Reload any open kiosk to pull the latest version.
