iPad Kiosk Setup

Overview

The KyberAccess iPad Kiosk app transforms any iPad into a self-service visitor check-in station. Visitors can scan QR codes, present their government-issued ID, take a selfie, sign NDAs, complete health screenings, and print badges — all without requiring front desk staff intervention.

This guide walks you through downloading the app, pairing it with your KyberAccess account, configuring the check-in workflow, and deploying your kiosk in a production environment.

Requirements

Before you begin, make sure you have:

  • An iPad running iPadOS 15.0 or later (iPad Air 2 or newer recommended)
  • A KyberAccess account on the Pro or Enterprise plan
  • A stable Wi-Fi connection at your deployment location
  • An iPad stand or enclosure (recommended for permanent installations)
  • Administrator access to your KyberAccess dashboard

Recommended iPad Models

For basic check-in workflows, the iPad 9th generation or later offers the best value. For organizations that rely heavily on ID scanning and selfie capture, the iPad Air 4th generation or newer provides better camera quality. The iPad Pro 11-inch or 12.9-inch delivers the best camera performance and is recommended for deployments where ID photo clarity is critical.

Note: The front-facing camera handles selfie capture, and the rear camera handles QR code scanning and ID barcode reading. Better cameras produce higher-quality captures for badge printing and photo matching.

Step 1: Download the KyberAccess Kiosk App

  1. Open the App Store on your iPad
  2. Search for KyberAccess Kiosk
  3. Tap Get to download and install the app
  4. Once installed, tap Open to launch the app

Tip: If your organization uses Apple Business Manager or an MDM solution (Jamf, Mosyle, Kandji), you can deploy the KyberAccess Kiosk app silently to managed iPads without manual installation.

Step 2: Pair the iPad with Your Account

When you first open the KyberAccess Kiosk app, you will see a pairing screen with a 6-digit code:

  1. On your iPad, note the 6-digit pairing code displayed on screen
  2. On your computer, log in to app.kyberaccess.com
  3. Navigate to Settings > Devices
  4. Click Add Device
  5. Enter the 6-digit code from the iPad
  6. Select the Location this kiosk will serve from the dropdown
  7. Give the device a descriptive name (e.g., "Main Lobby Kiosk" or "Building B Entrance")
  8. Click Pair Device

The iPad confirms the pairing with a green checkmark and automatically navigates to the kiosk home screen. The device now appears in your Settings > Devices list with an "Online" status indicator.

Step 3: Configure the Check-In Workflow

The kiosk workflow defines the steps visitors go through when checking in. Customize this entirely from your web dashboard — no need to touch the iPad again:

  1. Go to Settings > Kiosk Mode in your KyberAccess dashboard
  2. Select the paired device from the device list
  3. Under Workflow Steps, you can enable, disable, and reorder each step

Available Workflow Steps

  • Welcome Screen — Displays your organization's name, logo, and a greeting message. You can set a custom background image and enable language selection for multilingual lobbies.
  • Visitor Type Selection — Lets visitors choose their purpose of visit (e.g., Visitor, Contractor, Delivery, Interview). Configure the available types under Settings > Visitor Types.
  • ID Scanning — The visitor holds their driver's license or government ID up to the rear camera. KyberAccess reads the AAMVA barcode on the back of the ID to auto-populate name, date of birth, and address. A 4K photo of the ID front is also captured for records.
  • Selfie Capture — The front camera captures a photo of the visitor. This photo is used for badge printing and can be compared against the ID photo for identity match confidence scoring.
  • Host Selection — The visitor selects who they are visiting from a searchable staff directory. The selected host receives an instant notification via email, push, SMS, or Slack.
  • Health Screening — Displays a customizable questionnaire (e.g., symptom check, temperature confirmation). Failed screenings can block check-in entirely and alert staff.
  • NDA/Waiver Signing — Displays your legal documents for the visitor to review and sign using their finger on the iPad screen.
  • Badge Printing — Automatically prints a visitor badge on the connected badge printer with the visitor's name, photo, host, and check-in time.
  • Confirmation Screen — Shows a "You're checked in!" message with host notification status and any special instructions.
  1. Drag and drop the steps to set the order visitors experience them
  2. Click Save Workflow

Step 4: Customize the Kiosk Appearance

Match the kiosk to your organization's branding:

  1. Go to Settings > Kiosk Mode > Appearance
  2. Configure the following options:
    • Organization Logo — Upload your logo, displayed prominently on the welcome screen
    • Background Image — A custom background for the welcome and idle screens
    • Primary Color — Matches buttons and UI accents to your brand palette
    • Welcome Message — Custom greeting text (e.g., "Welcome to Acme Corp")
    • Idle Screen Message — Text or animation shown when no one is actively checking in
    • Language — Set the default language or enable multilingual mode for visitors to choose
  3. Preview your changes in the Live Preview panel on the right
  4. Click Apply Changes — the kiosk updates automatically within 30 seconds

Step 5: Lock the iPad into Kiosk Mode

To prevent visitors from exiting the app, accessing other iPad features, or changing settings, you need to lock the iPad:

Using Guided Access (Simple Setup)

  1. On the iPad, go to Settings > Accessibility > Guided Access
  2. Turn on Guided Access
  3. Set a passcode that only your staff knows
  4. Open the KyberAccess Kiosk app
  5. Triple-click the Home button (or Side button on Face ID iPads) to start Guided Access
  6. Tap Start in the top-right corner
  7. The iPad is now locked into the KyberAccess app until someone triple-clicks and enters the passcode

Using MDM Single App Mode (Enterprise Setup)

For enterprise deployments, use your MDM solution to enable Single App Mode, which is more secure than Guided Access:

  • Survives device restarts automatically
  • Cannot be bypassed without MDM administrator access
  • Supports remote management and configuration
  • Recommended for unattended kiosks

Additional iPad Settings

For the best kiosk experience, also adjust these iPad settings:

  • Auto-Lock: Set to Never in Settings > Display & Brightness
  • Notifications: Disable all notification banners to prevent pop-ups during visitor check-in
  • Software Updates: Disable automatic updates to prevent unexpected restarts during business hours
  • Brightness: Set to maximum or enable Auto-Brightness for consistent visibility throughout the day

Step 6: Physical Placement

Position your kiosk for the best visitor experience:

  • Height: Mount at standing height, approximately 42 to 48 inches from the floor
  • Lighting: Avoid placing the kiosk directly in front of bright windows. Backlighting reduces camera quality for selfies and ID photos
  • Power: Ensure a permanent power connection. The kiosk should remain on and plugged in at all times
  • Wi-Fi Signal: Verify strong Wi-Fi signal strength at the kiosk location
  • Printer Proximity: If using badge printing, place the printer within easy reach. The printer connects via your local network, not directly to the iPad

Step 7: Test Everything

Before going live, run through the complete check-in workflow:

  1. Approach the kiosk and tap to begin
  2. Select a visitor type
  3. Scan a test ID (use your own driver's license)
  4. Take a selfie when prompted
  5. Select a host from the directory
  6. Complete any health screening questions
  7. Sign the NDA/waiver if enabled
  8. Verify the badge prints correctly with your name, photo, and host
  9. Confirm the check-in record appears in your Visitors log on the web dashboard
  10. Verify the host received a notification

Managing Kiosks Remotely

After deployment, manage all your kiosks from the web dashboard without physical access:

  • Settings > Devices — View all paired devices, their online/offline status, and last activity timestamp
  • Remote Restart — Restart the kiosk app remotely if it becomes unresponsive
  • Workflow Updates — Any changes to your workflow configuration are pushed to kiosks automatically
  • Usage Statistics — See how many check-ins each kiosk processes daily and which steps visitors spend the most time on

Troubleshooting

Kiosk shows "Offline" in the dashboard: Check the iPad's Wi-Fi connection, ensure the device is powered on and the app is running. Restart the app or reboot the iPad.

Camera shows a black screen: Verify camera permissions are granted in iPad Settings > KyberAccess Kiosk > Camera. Clean the camera lens and restart the app.

Pairing code expired: Pairing codes expire after 10 minutes. Close and reopen the app to generate a fresh code.

App crashes or freezes: Force-close the app by swiping up from the bottom and swiping the app away. Reopen it. If persistent, check for app updates in the App Store. As a last resort, delete and reinstall the app (you will need to re-pair the device).
