Setting Up Visitor Pre-Registration (Public Link, Custom Questions & QR Code)

Pre-registration lets you share a public web link so visitors can register themselves before they arrive. They answer a few questions and receive a QR code for fast check-in — shown on the final screen and emailed to them. You can add your own custom questions to the form.


Step 1 — Open the public registration link

  1. In the left sidebar, go to Registration (Pre-Registration).
  2. Click the Public Link button at the top.
  3. You'll see your organization's public registration URL — for example: https://app.kyberaccess.com/pre-register/<your-org-id>
  4. Click Copy Link to share it, or Preview to open it yourself.

Share this link with visitors by email, on your website, in a calendar invite, or as a QR code poster.


Step 2 — Add custom questions (optional)

You can collect school- or facility-specific information on the form.

  1. In the same Public Link panel, find the Custom Questions section.
  2. Click + Add Question.
  3. For each question, set:
    • Label — e.g. HKID, Reason for visit, Vehicle plate
    • Type — Text, Long text, Number, Date, Email, Phone, Dropdown, or Checkbox
    • Required / Optional / Hidden
    • For Dropdown, add comma-separated options (e.g. Parent, Vendor, Contractor)
  4. Click Save Questions.

Your custom questions now appear on the public form, below the standard fields (name, email, phone, date, host).


Step 3 — What the visitor sees

  1. The visitor opens your link and fills out the standard fields plus any custom questions.
  2. On submit, a QR code is shown on the confirmation screen.
  3. The same QR code is emailed to the visitor automatically for check-in.
  4. When they arrive, they present the QR at the kiosk or gate for fast check-in.

Customizing the confirmation email

The confirmation email (and its QR code) uses your organization's branding, and you can edit its wording. See the companion guide "Customizing Notification & Email Templates."


Troubleshooting

  • A custom question isn't showing on the form. Make sure it was saved (Save Questions) and its status is not set to Hidden.
  • The visitor didn't get the email. Confirm the email address entered was valid. The QR is always available on the final confirmation screen as a fallback.
